Position Overview:
We are looking for a sharp, dependable Administrative Assistant who can learn quickly, stay organized, and help keep a fast-moving fitness equipment business on track. This is a hands-on support role working closely with operations. We need someone who can be trained on our processes, take ownership of recurring administrative work, and become a reliable right hand to the operations team.
What You'll Do:
- Enter and maintain customer, vendor, invoice, purchase, and payment information.
- Collect and organize W-9s, receipts, bills, purchase documents, and other business records.
- Assist with invoice preparation, payment tracking, and basic bookkeeping support.
- Help maintain inventory records, equipment documentation, and serial-number information.
- Support payroll administration, employee paperwork, and personnel records as processes are implemented.
- Assist with scheduling, phone calls, emails, follow-ups, and day-to-day office coordination.
- Help coordinate vendors, deliveries, freight, and other operational needs.
- Maintain organized digital and paper files and follow established procedures.
- Learn new systems and processes quickly and take on additional responsibilities as the company grows.
What We're Looking For:
- Strong attention to detail and follow-through.
- Comfortable working on a computer and learning new software.
- Good written and verbal communication skills.
- Able to prioritize multiple tasks in a fast-paced environment.
- Dependable, professional, and comfortable asking questions when something does not make sense.
- Basic Excel or spreadsheet skills; bookkeeping, payroll, inventory, or administrative experience is a plus.
- Willingness to learn is more important than knowing every system on day one.
